Terms and Conditions

These terms and conditions govern your use of CompliantDocs (compliantdocs.co.uk) and the purchase of digital compliance document packs. By placing an order you agree to these terms in full. The version of these terms in force at the time you submit your order governs that order.

1. About Us

CompliantDocs is a trading name operated as a sole trader business based in Northampton, England. Contact: Email us

2. Our Products

We provide digital health and safety compliance document packs tailored to specific trades and industries. Documents are generated based on information you provide at the point of order and made available electronically via your secure account dashboard as both PDF and editable Word documents.

3. Pricing

Prices are displayed on our website at the time of purchase and are inclusive of VAT where applicable. We reserve the right to change prices at any time. The price you pay is the price shown at checkout. The price in force at the time you submit your order is the price that applies to that order. Subsequent price changes do not entitle you to a refund or adjustment.

4. Payment

All payments are processed securely by Stripe. We do not store your card details. Payment must be made in full before your documents are generated.

5. Delivery

Once payment is confirmed and your business details are submitted, your documents will be generated automatically and made available in your secure account dashboard. This process typically completes within a few minutes.

Delivery is deemed to have taken place when your documents are made available in your account dashboard.

Your documents remain accessible in your dashboard at any time - there are no expiring download links. PDF and editable Word versions of each document are available to download from your dashboard whenever you need them.

If you experience any difficulty accessing your documents, contact us and we will assist you promptly.

6. Digital Products and Right to Cancel

Our products are digital documents created specifically for you based on the information you provide at the time of order. By completing the order form and clicking the payment button, you expressly consent to:

  • Immediate commencement of the document generation service before the end of the 14-day cancellation period normally available under the Consumer Contracts Regulations 2013; and
  • The loss of your right to cancel once your documents have been generated and delivered.

This waiver is required by Regulation 37 of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 in order for us to provide immediate delivery. If you do not wish to waive this right, do not complete the order form. No documents will be generated and no payment will be taken until both payment confirmation and order form submission are complete.

A written confirmation of this waiver is included in your order confirmation email.

7. Refunds

Due to the digital and bespoke nature of our products, all sales are final and non-refundable once documents have been generated and delivered. By submitting your order form you waive your statutory right to cancel under the Consumer Contracts Regulations 2013 in exchange for immediate delivery, as set out in Section 6 above.

We will consider goodwill refunds at our sole discretion in exceptional circumstances. To request consideration, contact us within 7 days of purchase setting out the specific issue. The following do not qualify for refund consideration:

  • Change of mind after delivery
  • Failure to complete the order form accurately
  • Decision not to use the documents
  • Belief that documents could have been obtained cheaper or free elsewhere
  • Inability to download due to user-side technical issues (we will resend on request)

Where a goodwill refund is offered, this is made entirely without admission of liability or fault on our part.

8. Chargebacks and Payment Disputes

We take payment disputes seriously. Before raising a chargeback or payment dispute with your card issuer, please contact us first at Email us so we can attempt to resolve the matter directly. We aim to respond to all customer concerns within 2 working days.

Raising a chargeback for a product that has been delivered as described, where you have received and accessed your documents, may be considered fraudulent under UK and international card scheme rules. In the event of a chargeback raised against a delivered order, we reserve the right to:

  • Submit comprehensive evidence of order completion and fulfilment to the relevant card scheme in defence of the dispute;
  • Recover any chargeback fees, administrative costs, and legal costs incurred from the customer;
  • Refuse future service to the customer and any associated accounts;
  • Report fraudulent chargebacks to the relevant authorities, including Action Fraud and the customer's card issuer.

9. Accuracy of Documents

Documents are generated based solely on the information you provide at the time of order. It is your responsibility to:

  • Ensure all information submitted is accurate, complete, and up to date;
  • Review your documents promptly after delivery and notify us of any errors arising from our document generation process within 7 days;
  • Update your documents (by placing a new order) if your business circumstances change - for example, changes to premises, staffing levels above stated maximums, new chemicals or substances used, new services offered, or changes to business operation.

CompliantDocs does not accept liability for documents generated from inaccurate, incomplete, or outdated information provided by the customer, or for failure to update documents following changes to the customer's business.

10. Nature of Documents and Professional Advice

The documents provided by CompliantDocs are completed compliance documents generated specifically for your business based on the information you submit. They are designed to assist sole traders and small businesses in meeting their health and safety compliance obligations.

The documents do not constitute legal advice. Health and safety legislation is subject to change and the specific obligations of your business may vary depending on your individual circumstances. You remain responsible for ensuring your business complies with all applicable health and safety legislation. We recommend seeking independent advice from a qualified health and safety professional or solicitor if you are unsure of your specific obligations.

11. Intellectual Property

All document content, templates, and website materials are the intellectual property of CompliantDocs. You may use your purchased documents for your own business purposes only. You may not resell, distribute, or reproduce our content without written permission.

Documents are licensed to the named purchasing business only and may not be transferred to any other person or business. Sharing of documents with employees, contractors, or inspectors of your own business is permitted; sharing outside your business is not.

12. Limitation of Liability

To the fullest extent permitted by law, CompliantDocs shall not be liable for any indirect, incidental, or consequential loss arising from the use of our documents or website. Our total liability to you shall not exceed the amount paid for your order.

CompliantDocs does not warrant that the documents provided will satisfy the specific requirements of any particular insurance policy, insurer, regulatory authority, or enforcement body. Whether documents meet the requirements of your insurer or satisfy an inspection by the Health and Safety Executive or other authority is a matter for you to verify with the relevant party. We recommend confirming the suitability of your documents with your insurer or a qualified health and safety adviser.

Compliance with health and safety law remains the legal responsibility of the business owner. Our documents are a tool to assist compliance, not a guarantee of compliance.

13. Governing Law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

14. Changes to These Terms

We may update these terms from time to time. The current version will always be available on this page. Continued use of our website constitutes acceptance of the current terms. Changes to these terms apply only to orders placed after the change takes effect. Your order is governed by the version of these terms in force at the time you placed it.
